· Conduct routine maintenance and CCR compliance inspections.

· Coordinate entire process of handling small maintenance issues in the community

· Coordinate preparation and execution of final contract documentation, including the verification of proper insurance, updated license status, lien releases, etc.

· Coordinate tax return preparation with Association CPA.

· Create and mail violation letters, architectural requests responses, and other correspondence to homeowners as needed.

· Create/host Association web site if desired.

· Ensure Corporation Filing is filed annually

· Execute any CD investments, renewals, or transfers as directed by the Board.

· Manage all returned proxies

· Manage and oversee all vendors associated with your community

· Manage delinquent accounts by sending past due letters out, filing liens, and working with collection agency if desired.

· Prepare and distribute agendas, notices, ballots, proxies, etc.

· Prepare and distribute all paperwork associated with the annual meeting (agenda, proxy, ballot, minutes, return envelopes)

· Prepare and/or distribute newsletters per contract.

· Prepare bid specifications for larger jobs and oversee bid process

· Prepare Board packages in advance of meetings

· Prepare financial statements on a monthly basis, including gen ledger, income statement, balance sheet, budget comparison, all bank statements and reconciliations, cash disbursement journals, h/o balances, and collection reports.

· Prepare/mail all billing statements/coupon books to homeowners.

· Provide 24/7 after hours maintenance emergency services.

· Provide management team to handle calls from h/o's, vendors, parties to a real estate transaction, vendors, board members etc., including a dedicated person to your community that is familiar with the community, rules and policies.

· Provide rules/policy information to new homeowners as well.

· Reconcile bank statements monthly.

· Respond to all e-mail correspondence in a timely fashion

· Review and approve all invoices submitted for payment.

· Review Reserve Study annually to plan for upcoming projects.

· Review workmanship/performance of Association vendors/contractors

· Serve as primary contact liaison with but not limited to:
